How Planiva collects, uses and protects personal data when you use the service.

Our privacy commitment

Planiva does not sell your personal financial data.

We do not use detailed financial planning inputs such as pension values, savings values, income amounts, spending targets, tax assumptions, estate details, scenario payloads, or detailed household financial data to build commercial datasets for sale or sharing with third parties.

Who we are

Planiva (“we”, “us”) provides personal financial planning tools and a scenario workbench for exploring and organising financial decisions. The service may include planning tools for areas such as cashflow, retirement, tax, capital gains and disposal planning, estate planning and other related topics over time. We are the controller of personal data processed through the service.

What information we collect

  • Account data: email address and authentication identifiers (via our authentication provider).
  • Planning data you enter: information you input into the service, including financial details, assets, liabilities, income, pensions, savings, spending, tax-related information, estate-related information, assumptions, scenario data, and optional profile details such as names, gender, current age, date of birth, contact email, contact phone, relationship details and free-text notes where you choose to provide them.
  • Related-person and planning records: where you use features that involve other people or linked records, this may include information such as partner details, executor and beneficiary details, gift records, property descriptions or address details, document-location notes, and pension nomination information.
  • Usage and technical data: basic information about how you use the service (for example feature usage, pages viewed, timestamps, device and browser information, IP address, and error logs). We use this mainly for security, troubleshooting, and improving the service.
  • Contact requests: if you contact us through the site, we collect the information you submit such as your name, email address and message.

If you enter someone else's information

If you input information relating to another person (for example a partner or a client), you confirm you have the right to provide that information and to allow us to process it in accordance with this policy.

How we use your information

We use personal data to:

  • Provide the service, including planning tools, account features, saving and loading scenarios.
  • Maintain security, prevent abuse and troubleshoot problems.
  • Improve the service, including developing new tools and features and understanding how the service is used.
  • Communicate with you about the service, including account notices, security messages, feature updates, and changes to the service.
  • Personalise the service, for example by using profile names to label and display scenarios and profiles.
  • Provide personalised calculations, projections, comparisons and scenario outputs based on the information you enter, including applying default assumptions where relevant to the tool you are using.

Privacy-safe operational and product telemetry

We may use limited privacy-safe telemetry to operate, secure, analyse, and improve the service. This may include tool usage, feature adoption, save and load activity, export usage, broad usage counts, timestamps, latency or performance measures, and error categories.

We do not use detailed planning inputs such as pension values, savings values, income amounts, spending targets, tax assumptions, estate details, scenario payloads, or detailed household financial data as product telemetry for sale or third-party sharing.

Emails and marketing

We may send you emails in the following categories:

  • Service emails (essential): for example account verification, passwordless sign-in links (if used), security notices, important changes, and messages needed to operate the service. You cannot opt out of these while you keep an account, because they are required to provide the service.
  • Product and update emails (non-essential): for example early access updates, new features, surveys, and announcements.

You can opt out of non-essential emails at any time by using the unsubscribe link (where included) or by contacting us through our contact page. If you opt out, we may still send essential service emails.

Cookies and similar technologies

We use cookies and similar technologies to operate the service.

Strictly necessary cookies

We use authentication and session cookies to keep you signed in and to protect your account. These are required for the service to work. Some of these cookies are set by our authentication provider (Clerk).

Preferences and local storage

We may use browser storage such as localStorage or sessionStorage to remember preferences and certain UI settings, such as theme choices and layout preferences. We also use temporary browser storage to support short-lived planner draft handoff, wizard handoff into the main planners, and Ask Planiva handoff into a planner where relevant.

Some of that temporary browser storage may briefly contain planning information. It is not intended as long-term storage. We aim to minimise and clear temporary values where practical, but information stored in a browser may remain available on that device until it is cleared or overwritten.

We separately store your cookie consent choice in a cookie so we can remember whether analytics cookies have been accepted or rejected on that browser.

Analytics and marketing cookies

We do not use advertising cookies. We may use analytics technologies, including Google Analytics, to help us understand how visitors use the website and app, measure feature usage, and improve the service. We ask for consent before setting non-essential analytics cookies or similar technologies.

If you reject analytics cookies, Google Analytics will not be loaded and analytics cookies will not be set. Strictly necessary cookies required for authentication, security, and core service operation will continue to function.

You can change your choice at any time using the `Cookie settings` link in the footer.

Your choices

Some fields are optional, such as gender, profile names, contact details for linked people, certain notes, and other non-essential planning details. If you choose not to provide optional fields, we will use generic defaults where defaults are needed for a feature. You can update these details in the service at any time.

Lawful bases

We process personal data under one or more lawful bases, typically:

  • Contract (to provide the service you request), and/or
  • Legitimate interests (to operate, secure, and improve the service, and to communicate with users about product updates).

Where required, we will rely on consent for specific types of communications.

Automated decision-making

We do not use your personal data to make solely automated decisions that produce legal or similarly significant effects. The service produces calculations, projections and other planning outputs for information purposes only, based on the data and assumptions you provide.

AI-assisted features

Ask Planiva and other AI-assisted features may process information you provide in order to generate responses, planning summaries, or scenario suggestions. These features are designed to support planning and comparison and do not provide financial advice.

Ask Planiva audit records are designed to store privacy-safe operational telemetry such as usage counts, status, timing, and error categories. They are not designed to store raw prompts, raw responses, full planner payloads, raw traces, or detailed financial values.

Aggregated usage statistics

We may retain privacy-safe aggregated usage statistics that help us understand service usage over time, provided they do not identify users and do not disclose detailed financial planning information.

Who we share data with

We only share personal data where it is needed to run, protect, support or improve Planiva, or where we have a legal reason to do so.

We may share data with:

  • Service providers that help us operate the service, such as authentication, hosting, infrastructure, analytics, email delivery, payment, security and support providers. Where applicable, these providers process data on our instructions and are not allowed to use it for their own unrelated purposes.
  • Professional advisers, regulators, authorities or other parties where required for legal, regulatory, fraud prevention, security or compliance reasons.
  • A buyer, investor, lender, successor or other transaction counterparty if we are involved in a business sale, merger, financing, restructuring or transfer of assets. Where this happens, we will expect appropriate confidentiality and data protection safeguards to apply.

We do not sell your personal financial data.

We do not share detailed planning inputs, such as pension values, savings, income, spending assumptions, tax details or estate planning information, with third parties for their own marketing, profiling or commercial data products.

We do not share personal data with third parties for their own direct marketing purposes without your consent.

Where you enable Enhanced Privacy for a saved plan, the protected scenario contents are encrypted so that Planiva cannot decrypt them unless you unlock the plan. This means those protected contents are not available for us, our service providers, or commercial partners to read through normal service access.

Enhanced Privacy does not change situations where we may need to share account-level, operational or legal information, such as authentication records, payment records, security logs, support records, or information required by law. It also does not protect downloaded exports after you have downloaded them.

International transfers

Planiva's primary application and database infrastructure is currently hosted in European data centres. Some service providers may still process limited data outside the UK/EEA. Where required, we use appropriate safeguards.

How long we keep data

We keep account data and planning data for as long as you maintain an account, and for a reasonable period afterwards where needed for security, legal, or operational purposes. This may include scenario records, linked-person records, notes, contact requests and support-related communications for a limited period where necessary. You can delete scenarios and request account deletion. We may retain privacy-safe aggregated usage statistics that do not identify users and do not disclose detailed financial planning information.

Your rights

Depending on your circumstances, you may have rights including access, rectification, deletion, objection, restriction, and portability. You also have the right to complain to the ICO.

Children

The service is not intended for children. We do not knowingly collect personal data from children. If you believe a child has provided personal data to us, please contact us through our contact page and we will take steps to delete it.

Security

We use technical and organisational security measures to help protect information.

Certain saved planning data, including saved scenario payloads and profile baseline payloads, may be stored using application-level encryption. This is intended to reduce the risk of readable financial planning data being exposed through database access.

The standard service is not currently zero-knowledge. Planiva may need to process decrypted data in order to provide service features such as loading saved plans, running calculations, generating exports, or supporting AI-assisted flows.

Standard Protected Mode is the default. It is designed to give strong, recoverable protection for saved planning data while still allowing the service to operate normally. Enhanced Privacy is optional. When you enable it, protected saved data requires your privacy passphrase or recovery key to unlock in the active browser session.

If you choose Enhanced Privacy, you are responsible for keeping your privacy passphrase and recovery key safe. If you lose both, Planiva may not be able to recover protected saved data.

Downloaded exports are outside Planiva once downloaded. You are responsible for protecting them on your own devices and storage locations.

No system is completely secure, and we cannot guarantee absolute security.
